Addressing the October 12th - '0' Dollar Fee

 

What You Need to Know:

On 9 October, 2020, the Department of Education, Skills & Employment (DESE) sent an email to all Victorian childcare providers to advise that, on Monday 12 October, 2020: a $0 session of care was recorded on active enrolments for Victorian children who had not attended care for at least 10 weeks.

The purpose of this was to prevent enrolments ceasing, and the CCS team recovering entitlements for children that would be covered under the modified requirements, due to COVID-19.

Any subsequent submission for the week beginning 12 October, however, may have withdrawn this 'special' attendance recorded by the government. In turn, this may have marked all preceding absences as 'cessation of care'.

What You Can Now Do:

If your service is located in any state other than Victoria, you don't need to do anything.

 

If your service is located in Victoria, please read the instructions below carefully:

 

The following actions must only be taken in any case where a child has received a $0 session attendance from the government, but has not attended any sessions of care for the week of 12 October 2020.

Note: If a child attended sessions during the week of 12 October 2020, no action is required.

  1. Create a new fee called “COVID-19 service update” with a value of $0 and a session length of 12:01am - 12:30am. To find this section go to Settings -> Service Settings -> Click on your service Image -> Fees -> Add Fees

  2. Apply this session on Monday, 12th October, 2020. This will be done via the Master Roll -> Add Bookings
  3. Add sign in and out times to mark this session as an attendance. Note: This session should only be added to children who received the initial $0 session.
  4. Go to Child Care Subsidy -> CCS Submissions and submit each child who has received this session for the week of 12 October 2020.
  5. Issue a new CWA to be signed by the parents of any impacted children who intend to continue their enrolment.
