Expiring Attachments

Administrators will now be able to easily identify any attachments from a child’s profile with an upcoming expiry date within 28 days in the future. This will help to stay on top of all children’s upcoming expiring attachments and will allow administrators to remain proactive with collecting up-to-date documentation from families.

Expired documents will remain on the to do list for 7 days unless an administrator marks it as done, past the 7 days this action will be removed from the widget. 

View Attachments
  1. Navigate to the Dashboard
  2. Scroll down page to the Expiring Attachments widget
  3. Select To Do tab on widget
  4. From here you will see a list of attachments expiring within the next 28days. The list will populate with the expired or closest attachments to expire at the top.

Mark as Done

  1. Navigate to the Dashboard
  2. Scroll down page to the Expiring Attachments widget
  3. Under To Do you can tick the checkbox once you have actioned
  4. This will now move under the Done tab on the widget
  5. Done

Add/Edit Expiry Dates

Add an Expiry Date

  1. Navigate to the Child Profile > Attachments > Select the pencil icon
  2. Select the checkbox which says 'This attachment has an expiry date'
  3. Select the date from the calendar or enter manually
  4. Press Save

Edit an Expiry Date

Administrators are able to remove unnecessary expiration dates in bulk as follows:

  1. Navigate to the Dashboard
  2. Scroll down page to the Expiring Attachments widget
  3. Select the Edit Expiring Attachments button Screen_Shot_2022-05-27_at_7.40.27_pm.png
  4. In this screen administrators can search Attachment Title or Child Name 
  5. Tick the checkbox next to the attachments requiring edits
  6. Select Remove Selected Expiry Dates
  7. Select Remove
  8. Done

Note: This will remove the expiry date placed against an attachment in a child's profile. This document will not expire and will no longer appear on your Expiring Attachments list.

Previously, an expiry date was required for each attachment. This field is now optional and will automatically be empty for enrolment and re-enrolment form attachments so that you only receive relevant alerts in the Expiring Attachments widget.

 

Reporting

Administrators can download a CSV to view all To Do or Done actions as follows:
