The Roll Book & Roll Summary reports

The Roll Book report

The Roll Book is an easy-to-read report of bookings for a week. It is generated through Office.

To produce this report:

  • Go to Reports > Attendance Reports > Roll Book;
  • Select the service, room and dates for the report;
  • Select the Roll Book option;
  • Click 'Generate Report'.

If you don’t select a room, you can view all bookings from all rooms from the dates you’ve input. 

An Excel spreadsheet will download with the relevant information. This can be printed for your use.

The Roll Summary report

The Roll Summary report allows a user to report on the days children have attended, or are going to attend, based on the Master Roll bookings.

The report can be filtered by Service, Room and Date and is formatted for quick printing.

To produce this report:

  • Go to Reports > Attendance Reports > Roll Book;
  • Select a Service, Rooms, From Date and To Date
  • Select the Roll Summary option
  • Click Generate report

How the Roll Summary report works

The report shows Child Name, Age and DOB as well as the primary guardian contact information.

The attendance information is shown as a Fee code, e.g. DF (Daily Fee). If the child is absent or on holiday, the code will have a /A (absent) or /H (holiday) beside the fee code, as shown below.

Multiple sessions for the same room and day are shown with a comma between sessions.

There is a total for daily bookings along the bottom. Holidays and absences are not counted in this total.
